2. Hosting and server logs

This website is hosted by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. When the website is accessed, the web server processes technically necessary connection data. This may include the date and time of access, requested resource, referrer, browser and operating-system information, and technical connection data. According to Hetzner, IP addresses in HTTP access logs are anonymised for data-protection purposes.

Processing is necessary to provide the website securely and reliably and to identify technical faults. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the secure and reliable operation of this website. Stored web logs for this website are deleted after no more than 14 days. Where required for the relevant processing, a data processing agreement under Article 28 GDPR is in place with the hosting provider.

3. Contact by email or phone

If you contact us by email or phone, we process the information you provide to handle your enquiry and subsequent communication. Article 6(1)(b) GDPR applies where the enquiry concerns pre-contractual measures or a contract. In other cases, processing is based on Article 6(1)(f) GDPR and our legitimate interest in handling business enquiries appropriately.

4. Contact form

When you use the contact form, we process the data you enter. Name, email address and project description are required; company, phone number and project topic are optional. The data is used solely to handle your enquiry and subsequent communication.

The legal basis is Article 6(1)(b) GDPR for pre-contractual or contractual enquiries and otherwise Article 6(1)(f) GDPR. Separate consent is not required to process a project enquiry; the privacy information is provided directly at the form.

The form uses a hidden honeypot field and server-side validation to reduce automated submissions. No third-party CAPTCHA service is embedded.

5. Contact-form delivery through Postmark

We use Postmark, a service provided by AC PM LLC in the USA, for server-side delivery of contact-form messages. When the form is submitted, the data entered is transmitted to Postmark so that the message can be delivered by email to kontakt@ki-softwareentwicklung.de. The email address you provide is used as the reply-to address.

Postmark processes the data on our behalf under a data processing agreement pursuant to Article 28 GDPR. Because Postmark processes data in the United States, personal data may be transferred to a third country. According to Postmark's current Data Processing Addendum, such transfers are safeguarded, where applicable, under the EU-U.S. Data Privacy Framework and otherwise through the European Commission's Standard Contractual Clauses.

Postmark stores message content and activity data for 45 Tage by default. The retention period can be changed in the Postmark account; the default retention is intended for this project. Open and link tracking are explicitly disabled for contact-form emails. The Postmark server token is stored only on the server and is never exposed to the browser.

6. Cookies and access to terminal equipment

The current website does not use analytics, marketing or tracking services and does not set non-essential cookies or comparable technologies. No consent banner is therefore required for the current implementation. If technologies that store or access information on a user's device are added in future, the applicable consent requirements and this Privacy Policy will be reviewed before activation.

7. Local media and fonts

Images, logos, icons and fonts are served locally from this website. Loading these resources does not create an additional connection to an external image or font provider.

8. Recipients

Within the controller, personal data is accessible only to people who need it to handle the relevant enquiry or administer the website. Processors may include Hetzner Online GmbH for hosting and Postmark for email delivery. Data is disclosed to other recipients only where necessary for contract performance, required by law or supported by another legal basis.

9. Retention

Personal data is retained only for as long as necessary for the relevant purpose and is then deleted unless statutory retention obligations or other legal grounds require continued storage. Web logs are retained for no more than 14 days. Postmark's technical message history is generally subject to the default retention of 45 Tage described above.

10. Your rights

Subject to the statutory requirements, you have rights including access under Article 15 GDPR, rectification under Article 16 GDPR, erasure under Article 17 GDPR, restriction under Article 18 GDPR, and data portability under Article 20 GDPR. Where processing is based on Article 6(1)(f) GDPR, you may object under Article 21 GDPR on grounds relating to your particular situation. Where processing is exceptionally based on consent, consent may be withdrawn at any time with effect for the future.

11. Right to lodge a complaint

Under Article 77 GDPR, you have the right to lodge a complaint with a supervisory authority. 12. Automated decision-making

No solely automated decision-making, including profiling within the meaning of Article 22 GDPR, takes place in connection with this website or the contact form.

13. Updates

We update this Privacy Policy when the services used, technical processes or legal requirements change.
